How to insert or modify approvers in an approval route

Depending on your user permissions you may be able to add users to approval levels on an ad hoc basis when preparing an approval, and during in-flight approvals.


Whilst approval routes are established and maintained by your organisation according to standard approval matrices, there is sometimes a need to modify (add, reorder, delete) approvers for specific packages of work.


Users will need the Add Approvers to Approval Instances permission to perform the following actions.


Editing approvers while creating an approval


If you have the right permission mentioned above, you will see an "Edit approvers" button on the approval workflow creation page, next to the approval route you have selected.


Editing approvers at the creation stage of an approval workflow will allow you to add, reorder and delete approvers.


To add ad hoc approvers:

  1. Navigate to the approval instance
  2. Click Edit Approvers
  3. Select a User, Title, and Level for the new approver
  4. Click Add Staff
  5. Click Save


Ad hoc approvers added when preparing an approval will not be captured when saving the pending approval. Make sure to add these approvers right before sending the approval.



Editing approvers for a Sent (in-flight) approval


If you have the right permission mentioned above, you will see an "Edit approvers" button on the approval workflow view page, in the "requires approval by" section, next to each approval route that's been added to the workflow.


Editing approvers at the "Sent" stage of an approval workflow will allow you to add new approvers re-order any approver, but will not allow deletion of existing approvers. It is also not possible to delete or re-order approval levels that have already passed or commenced.
