This article applies to the RFQ Open period only. For details on post tender requests, see this article.
During RFQ creation, you have the option to either (a) prevent vendors from updating their quotes, or (b) allowing them to make updates all the way through the RFQ open period.
If the option "vendors require permission to update quotes" has been selected, vendors may only submit their quotes once while the quoting period is open and then require express permission from you to make an update.
Allow vendors to update their quote
To allow a vendor to update their quote:
- Navigate to Projects > Requests for Quotation from the main menu.
- Locate the RFQ you wanted to allow its vendors to update their quotes by using the quick search or filters.
- Click on the RFQ Job Name or hover over the ellipsis icon and select View Details from the options.
- Go to the Vendors tab.
- Locate the individual package (an RFQ could have multiple packages) and the vendor you wish to allow updating their quote.
- Hover over the ellipsis icon and select Allow Quote Updates from the options. A popup modal will open.
- (Optional) Enter your Message to the vendor in the text box provided.
- Click the Allow updates button. The vendor will receive an email notification that the organisation has given them permission to update their quote.
Any information that the vendor removes will also be removed from their original quote, and it will no longer be available once they submit it.
From the Vendors tab, once the permission to update a quote has been granted, the Quote updates allowed will be seen from the options in the ellipsis and is greyed out.
Check if vendors have been granted permission to update their quotes
To check if a vendor has been granted permission to update a quote:
- Go to the Vendors tab.
- Locate the individual package (an RFQ could have multiple packages) and the vendor you wish to check if they have been granted permission to update their quote.
- Hover over the ellipsis icon. You will see the Quote updates allowed from the options and is greyed out. Hovering over this option will display a tool tip.
